Every year the Rakiura Maori Land Trust holds an Annual General Meeting for its beneficial owners the following information relates to this years AGM.

AGM Date: 24th September 2006

AGM Venue:  Stewart Island Community Centre, Stewart Island.

Additional AGM 2006 Information

The following documents relate to the Rakiura Maori Land Trust 2006 AGM to be held on Rakiura on Sunday 24th September 2006. You should read the Pre-AGM Notice of Meeting 2006, which is listed below and contains the official notification provided to all Beneficial Owners.

AGM News:

No Trustees Nominations Received: (11 August 2006) The Owners have endorsed the current Trustees and no nominations were received for the two Trustee positions that required re-election for 2006. Theona Heaslip and Stephen Harteveld will continue as Trustees for another 3 years. These two Trustees were both elected to the Trust in 2000 and will now continue until 2009 when they will be required to once again stand for re-election. 

Ferry Travel to AGM on Sunday:  The Trust as arranged a special rate for owners to travel to the Island on the day of the AGM using the Ferry but you must complete the "Registration form for ferry to AGM meeting" listed below and return it to the office. You will not be able to take advantage of this offer by simply turning up on the day. If you simply turn up on the day without registering then you be responsible for paying the fare of the day. (Note you need to pre-book this with our by Friday 8th September 2006)

Appointment of an Alternate: (Now Closed) Any Beneficial Owner may appoint an “Alternate Representative” to represent them at the AGM. The Alternate person will have the same rights as the owner they represent at the meeting. An Alternate Representative, like everyone else at the meeting, can only have the rights of one person at the meeting thus if the Alternate is already an Owner they may only participate in the meeting as an Owner or the Alternate equally the Alternate can only represent one Owner not multiple owners. This ensures everyone only has one set of speaking rights for the meeting. Finally the owner who has appointed an Alternate to represent them will be bound by the decisions of the meeting and contribution made by their Alternate. The Form for appointment of an Alternate is listed below. (Note all voting forms must be received as indicated on the form by 12.00pm on Thursday 21st September 2006)

Postal Voting for AGM: (Now Closed) The Trustees have now set the Agenda and "Postal Voting Forms" are available for those who are unable to attend this years AGM. The forms are available below for further information contact the office. (Note all voting forms must be received as indicated on the form by 12.00pm on Thursday 21st September 2006)

Proxy Voting for AGM: (Now Closed) The Trustees have set the Agenda and owners may now appoint a proxy to represent them if the are unable to attend the meeting. Your should read the terms and conditions associate with appointing a Proxy,  they are relevant to both the appointee and the beneficial owner. Please take the time to read these terms and conditions which are covered on the form listed below. (Note all voting forms must be received as indicated on the form by 12.00pm on Thursday 21st September 2006)

Whānau Trust Representative: (Now Closed) The appointment of a Whānau Trust Representative has been provided to ensure the Rakiura Maori Land Trust (RMLT) knows who has the official right to represent, vote, and speak on behalf of a Whānau Trust. The appointment of a Whānau Representative is intended to provide the Whānau Trust with the opportunity to be represented at the AGM by a person who can exercise the wishes of the Whānau Trust as the beneficial owner. The Whānau Trust must complete the Whānau Trust the appointment of the Whānau Trust representative form and return it to the as required on the form. (Note all voting forms must be received as indicated on the form by 12.00pm on Thursday 21st September 2006)

 

  

Owners Agenda Items for AGM: (Now Closed) If Beneficial Owners wish to put any business forward for the AGM to consider you must complete an "Agenda Item Form for AGM 2006" listed below and return to the office by 4.00pm on Wednesday 10th August 2006.

Nominations for Trustee Positions: (Now Closed) If Beneficial Owners you wish to nominate someone to stand as a Trustee for the Rakiura Maori Land Trust you should complete a "Trustee Nomination Form AGM 2006"  listed below and return to the office by 4.00pm on Wednesday 10th August 2006.

If you have any further questions regarding the AGM please feel free to contact our Office at any time. A final mail out with formal Agenda and voting papers for the AGM will be mailed to owners towards the middle of August 2006.
